Terms & Conditions
These Terms & Conditions govern all bookings made with Wild Galloway. By making a booking, the lead guest confirms that they have read, understood and agreed to these Terms & Conditions on behalf of all members of the booking party.
Wild Galloway is operated by Four Season Farm Limited trading as Wild Galloway
1. Booking Contract
1.1 A booking becomes legally binding once confirmation has been issued by Wild Galloway and the required payment has been received.
1.2 The lead guest must be at least 21 years of age at the time of booking.
1.3 The lead guest accepts responsibility for:
All payments due;
The behaviour of all guests staying at the property; and
Ensuring all guests comply with these Terms & Conditions.
1.4 Bookings are accepted for holiday and leisure purposes only. No booking creates a tenancy or any right of occupation beyond the agreed stay
1.5 Wild Galloway reserves the right to refuse or cancel any booking at its reasonable discretion.
1.6 Where a booking is made through a third-party platform, including Airbnb or Booking.com, certain payment, cancellation or platform-specific terms may also apply. In the event of conflict, the relevant platform’s payment and cancellation procedures shall take precedence where required by that platform.
2. Occupancy
2.1 The maximum occupancy of each cabin is four guests, including infants and children.
2.2 Cabin pricing is based on occupancy of two adults.
A maximum of four guests, including infants and children, may occupy a cabin at any time, subject to a maximum of three adults. An additional charge will apply for a third adult guest.
2.3 Only guests included within the booking may stay overnight at the property unless otherwise agreed in writing.
3. Payments
3.1 A deposit equal to 50% of the total booking value is required at the time of booking.
3.2 The remaining balance is due no later than 30 days before arrival.
3.3 Bookings made within 30 days of arrival must be paid in full at the time of booking.
3.4 Payments may be made via Stripe, debit card, credit card or bank transfer.
3.5 All prices are shown in Pounds Sterling (£) and include VAT where applicable.
3.6 If payment is not received by the due date, Wild Galloway reserves the right to cancel the booking and retain any sums already paid.
4. Cancellations and Amendments
4.1 If a guest cancels a booking:
Cancellations made 90 days or more before arrival will receive a full refund of any sums paid;
Cancellations made between 30 and 90 days before arrival will forfeit the initial 50% deposit paid at the time of booking;
Cancellations made within 30 days of arrival are non-refundable and the full booking value remains payable.
4.2 Date changes may be permitted at Wild Galloway’s discretion, subject to availability and payment of any applicable administration fee or price difference.
4.3 Bookings are non-transferable.
4.4 Refunds will be made to the original payment method only.
4.5 Guests are strongly advised to obtain suitable travel insurance covering cancellation, illness, adverse weather and travel disruption.
4.6 Adverse weather conditions, transport disruption or changes to personal circumstances do not entitle guests to a refund unless required by law.
4.7 Wild Galloway reserves the right to cancel or amend a booking where necessary due to circumstances beyond reasonable control, including but not limited to severe weather, safety concerns, utility failure, maintenance issues or force majeure events. In such circumstances, liability shall be limited to the refund of monies paid or the offer of alternative dates, at Wild Galloway’s discretion.
5. Arrival and Departure
5.1 Check-in is available from 4:00pm on the day of arrival.
5.2 Check-out is required by 10:00am on the day of departure.
5.3 Access details and check-in instructions will be provided prior to arrival. Cabins operate via self check-in using a lockbox system.
5.4 Unauthorised late check-out may result in additional charges where it impacts housekeeping, maintenance or incoming guests.
6. Security Pre-Authorisation
6.1 Wild Galloway reserves the right to obtain a pre-authorisation against a guest’s debit or credit card prior to arrival.
6.2 By making a booking, guests authorise Wild Galloway to charge reasonable costs arising from:
Damage to the property or contents;
Smoking or vaping inside the accommodation;
Excessive cleaning requirements;
Missing items;
Breaches of these Terms & Conditions.
6.3 Guests remain responsible for any loss, damage, excessive cleaning or breach of these Terms & Conditions during their stay.
6.4 Any additional charges will reflect the reasonable cost of repair, replacement or cleaning.
7. Guest Conduct
7.1 Guests are expected to behave respectfully and responsibly during their stay.
7.2 Noise must be kept to a reasonable level at all times, particularly between 10:00pm and 8:00am.
7.3 Fireworks are not permitted anywhere on the property.
7.4 Drone use is prohibited without prior written consent.
7.5 Illegal substances and unlawful activity are strictly prohibited at the property.
7.6 Organised events, gatherings or commercial activities require prior written consent from Wild Galloway.
7.7 Wild Galloway reserves the right to terminate a stay immediately, without refund, where guest behaviour is considered unsafe, disruptive, unlawful or likely to cause nuisance or damage.
8. Smoking, Candles and Pets
8.1 Smoking and vaping are strictly prohibited inside all cabins.
8.2 Smoking and vaping are permitted outdoors only.
8.3 Candles, incense and naked flames are not permitted inside the accommodation.
8.4 Dogs are permitted by prior arrangement only and may incur an additional fee.
8.5 A maximum of two dogs are permitted per cabin unless otherwise agreed.
8.6 Guests must ensure dogs are kept under proper control at all times and must be kept on a lead where livestock may be present.
8.7 Dogs are not permitted on beds or soft furnishings.
8.8 Gates must be left closed at all times.
8.9 Guests remain responsible for any damage, cleaning or disturbance caused by pets.
9. Outdoor Facilities
9.1 Cabins include outdoor bathing and shower facilities which are used entirely at guests’ own risk.
9.2 Children must be supervised at all times whilst on the property and when using outdoor facilities.
9.3 Outdoor facilities may occasionally be unavailable due to maintenance, weather or operational issues.
9.4 During periods of freezing weather, outdoor baths and showers may become unavailable. No refund or compensation shall be payable in such circumstances.
10. Fire Safety and BBQs
10.1 Cabins include a wood-burning stove and outdoor Kamado barbecue.
10.2 Guests must use all fires, stoves, fire pits and barbecues responsibly and in accordance with any instructions provided.
10.3 Wild Galloway supplies firewood, charcoal and firelighters for guest use.
10.4 Guests remain responsible for ensuring fires and barbecues are safely extinguished after use.
10.5 All barbecues and outdoor fires must be fully extinguished before 11:00pm.
11. Parking
11.1 Free parking is available on site at guests’ own risk.
11.2 Wild Galloway accepts no responsibility for loss, theft or damage to vehicles or their contents.
12. Access and Maintenance
12.1 Wild Galloway reserves the right to access the accommodation where reasonably necessary for:
Emergencies;
Maintenance;
Repairs;
Inspections.
12.2 Wherever reasonably possible, notice will be provided in advance.
13. Cleaning and Damage
13.1 Guests are expected to leave the accommodation in a reasonably clean and tidy condition.
13.2 Wild Galloway reserves the right to charge guests for:
Damage;
Breakages;
Missing items;
Excessive cleaning;
Specialist cleaning required following smoking, pet damage or misuse of the accommodation.
13.3 Any such charges will reflect the reasonable cost incurred by Wild Galloway.
13.4 Any personal belongings left behind following departure may, at Wild Galloway’s discretion, be returned at the guest’s expense. Wild Galloway accepts no responsibility for items left at the property.
14. Complaints
14.1 If guests experience any issue during their stay, they must notify Wild Galloway as soon as reasonably possible to allow an opportunity to resolve the matter.
14.2 Wild Galloway cannot accept liability for complaints not reported during the stay where reasonable opportunity to investigate or remedy the issue was not provided.
15. Liability
15.1 Nothing within these Terms & Conditions excludes liability for death or personal injury caused by negligence, fraud or any liability which cannot lawfully be excluded.
15.2 Subject to clause 15.1, Wild Galloway shall not be liable for:
Loss or damage to guest belongings or vehicles;
Interruption to utilities or services outside reasonable control;
Adverse weather conditions;
Events beyond reasonable control;
Indirect or consequential losses.
15.3 Guests acknowledge that the accommodation is located within a rural environment, including working farmland and grazing livestock, and that uneven, wet or slippery outdoor surfaces, decking, pathways and natural ground conditions may exist.
16. Website Accuracy
16.1 Whilst every effort is made to ensure that website descriptions, photographs and property details are accurate, Wild Galloway reserves the right to make minor changes where necessary.
16.2 Wild Galloway shall not be liable for minor inaccuracies, differences in appearance or non-material changes to the accommodation or surrounding property
17. Force Majeure
17.1 Wild Galloway shall not be liable for any failure or delay in performing its obligations where such failure or delay results from events beyond reasonable control, including but not limited to:
Severe weather;
Flooding;
Storm damage;
Fire;
Power outages;
Utility failures;
Road closures;
Governmental restrictions;
Pandemics or public health emergencies.
18. Photography and Commercial Use
18.1 Commercial photography, filming or organised commercial activity at the property requires prior written consent from Wild Galloway.
19. Governing Law
19.1 These Terms & Conditions shall be governed by and interpreted in accordance with the laws of Scotland.
19.2 Any dispute arising in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the Scottish courts.
